Alex, as an application administrator, he wants to have an overview on the email templates and make adjustments based on the requirements. He can follow the steps below:
1. Navigate to Admin > Email templates in Examena. All email templates are displayed in the table with their basic information.
2. To edit an email template, Alex can select the email template, and click Edit.
3. In the Edit email template window, Alex can edit the email template as requirements.
•Subject – The subject of the email.
•Message body – The message body is the complete message of the email.
Alex can click Insert reference to add references to the subject and message body. The inserted references will be automatically replaced with the actual data in the system when the email is sent.
4. If Alex wants to preview the email, he can click Preview.
5. If Alex does not satisfy with the edits to the email template, he can click Reset to default and edit the email template again.
6. When Alex finishes the edits to the email template, he clicks Save.
7. Alex can select multiple email templates and click Deactivate to stop sent email notification using the email templates. To reuse those email templates, Alex can select the email templates and click Activate.
*Note: To send email notifications from Examena, the tenant owner or service admin of MaivenPoint Online Services must configure the outgoing email settings in MaivenPoint Online Services > Settings > SMTP settings. For details, refer to Configure outgoing email settings.
